1. To add room calendars
a. Open your Outlook application and click on the calendar icon near the bottom left corner
b. Hover over “My Calendars,” right-click, and choose “Add Calendar” and choose “From Room List”
c. Search by conference room name, or choose from the list that appears, and click “Rooms” after each selection to add all meeting rooms at once, then click “OK.” The image below contains the list of all current meetings rooms.
d. Once added, click the checkbox next to the “Rooms” option that appears on the left
e. For easier viewing, click the “Day” arrangement option on the top ribbon
2. To add individual person’s calendar
1. Follow previous step b and choose “From Address Book” then search by name
3. To add the company calendar
1. Follow previous step b and choose “Open Shared Calendar” then search “NolatoContour Calendar.” When you click “OK” the shared calendar should display next to your calendar automatically.
4. To book a meeting
a. Checkbox which rooms you would like to view for availability. If there is a specific room needed for an
in-person customer visit or online meeting, please notify the front desk so a Visitor Notice (Form 1308) can be created and other meetings moved if needed.
b. When you find a room and timeslot you would like to book, double-click the slot on the meeting room calendar, or right-click and choose “New Appointment”
c. In the following window, enter all pertinent meeting information, then click “Save and Close” in the top left of the Appointment ribbon
d. To invite others, click “Invite Attendees” and enter respective email addresses into the “To” line
e. To make a meeting occur multiple times (i.e. once a week, twice a month, etc.), click “Recurrence” and set parameters in the following window as needed
Important Note: Please check all meetings after booking to make sure the room accepted the appointment. If another meeting is occurring any time during the time slot you’ve specified, your meeting will not be accepted by the room and will not show up on the room calendar.
